Executive Assistant

Description
The Executive Assistant will provide seamless administrative support to the Director of Private Equity/Co-Head of Alternative Investments, as well as two other professionals on the Private Equity investment team. Successful candidate will be responsible for managing calendars, relationships and correspondence, for which he or she will be the first point of contact. This will require the Executive Assistant to develop a deep understanding of the business to establish priority based on the level of importance.
Key results expected: Effective calendar management; well managed travel arrangements; timely and thorough preparation of expense reports; optimum screening of incoming communications and routing for action and follow-up; communication with both internal and external contacts; well proofed standard correspondence; comprehensive organization of meetings, luncheons and interviews as needed.
Responsibilities:
* Answer telephones, schedule meetings, write correspondence, manage files (hard copy and electronic), make copies, send faxes
* Coordinate travel itineraries and book travel arrangements
* Manage travel and expense request approvals, compile receipts and process T&Es
* Sort through and distribute mail
* Work with other assistants to manage group email box
* Attend to periodic mailings of investment and other reports to clients
* Assist in preparing presentations for Board and investor meetings
* Additional administrative duties and special projects as deemed necessary

* Proficient in Microsoft Outlook, Word and PowerPoint. MS Excel also a plus
* College degree with minimum of 5 years experience in similar role; commitment to performing an administrative function
