Title Document and Records Retention Coordinator

Requirements Job Responsibilities:
Responsible for coordinating and maintaining a records management system for the A/E/C environment.
Responsible for coordinating the records management system within the operating divisions and corporate support, including, but not limited to, continuous training of staff on the use of approved electronic document filing procedures and records retention and management practices. Work at all levels of an organization - from executives to front line employees.
Prepares and makes recommendations on the feasibility of implementing new or revising existing filing systems; bases decisions on analysis, experience and judgment. Collaborate with business and system experts to elicit detailed business requirements. Document business improvements in an understandable format, with the correct amount of detail needed for business and system partners. Facilitate sessions to bring multiple groups together to and build consensus. Conduct comprehensive requirements reviews with business area experts and technology teams and responsible for sign offs. Make use of various documentation techniques, i.e., textual templates, use case diagrams and scenarios, workflow diagrams, and prototyping. Provide recommendations for changes to procedures, workflow and department policies to meet business needs. Work closely with the project managers to participate in issues resolution as needed.
Monitor file usage and report on key system metrics.
Research and be aware of industry trends for document retention and records management and make recommendations to bring program in line with industry.
Basic Qualifications:
BS/BA with 8-10 years experience in A/E/C firms
Knowledge of document control in A/E/C environment
Excellent computer skills including knowledge of document control and management systems, Windows filing systems and system security.
Widely recognized for achieving goals by developing positive relationships.
Ability to build consensus and establish direction at high levels of management.
Good communication and interpersonal skills required
PMP certification a plus
Interstate travel required
Knowledge of ISO quality management systems a plus
