POSITION ANNOUNCEMENT


 


Title:                  Event Sales Coordinator


Salary Range:   Based on experience



Reports to:         Director of Special Events


 


The Council is seeking a highly motivated and dynamic sales and event management candidate to join the rental events team for its grand Park Avenue mansion and adjoining conference center.  The major responsibilities of this position will include:


Sales and marketing of the space, with an emphasis on social events, and assisting with event management;
-          Solicit business, manage inquiries and conduct client tours to sell space.


-          Assist with the production and placement of ads and marketing materials as well as ongoing maintenance of the dedicated website


-          Negotiate and secure bookings and prepare contract agreements.


-          Maintain client relationships by acting as the main point of contact for assigned accounts.


Office Management;
-          Prepare administrative documents for each event.


-          Monitor event insurance and accounting information, securing appropriate forms and payments.


-          Arrange for inter-departmental meetings to review logistics.


-          Maintain client files and a database of contacts.


-          Assist with maintaining the overall budget including monitoring individual sales goals, and processing rental vouchers and invoices.


 


Liaison with vendors in the Special Events field, including caterers, florists, and entertainment, conduct meetings to communicate the Council's requirements, coordinate schedules, and review logistical event information.
 


Management of social events by executing all logistical details on-site throughout the event, management of staff and vendors according to Council rules and regulations as well as client agreements.


Preferred Skills and Abilities:


Related sales and customer service experience
Demonstrated interest in a career in events management
Extremely polished and professional demeanor
Excellent verbal and written communication skills
Proactive, results-oriented problem solver with strong organizational skills


Strong computer skills, including Microsoft Word and Excel
Availability to work a flexible schedule, including evening and weekend events


Bachelor's degree in related field
